Everything you need to find new business customers and reach them by email and WhatsApp, explained step by step.

Getting started

Create your account, then let Quick start get your first emails out in about 10 minutes.

Open Quick start
  1. Press Create free account and fill in your name, company, work email and a password. Companies you revealed as a visitor move into your new account.

  2. When you want to send emails or WhatsApp messages, choose a plan on Plans and pricing. Searching and 10 reveals are free.

  3. Open Quick start from your Overview. Step 1, Your business: type your website and press Read my website. We read a few public pages and work out what you sell.

  4. Step 2, Buyers: pick up to 3 types of buyer (or type your own) and press Find these companies.

  5. Step 3, Reveal: press Reveal the best 50. You see how many credits it uses before anything is spent.

  6. Step 4, Emails: AI writes 3 short emails, a first email and two gentle follow-ups, in English, Bahasa Malaysia or 中文.

  7. Step 5, Mailbox: connect the email address you send from. This step is skipped if you already have one.

  8. Step 6, Start: read your first email, press Edit email to change anything, then press Start sending.

Good to know

  • Your Quick start progress is saved in this browser, so you can close the page and carry on later.
  • The Finish setting up card on your Overview shows what is still missing, with a button for each step.

Find companies

Write one sentence about who buys from you and see matching companies.

Open Find companies
  1. Go to Find companies and describe what you sell and who buys it, for example “We supply tiles. Find contractors and interior designers in Penang”.

  2. Add places in the Where box: whole countries, regions or cities, up to 25. Places you type in your sentence appear there by themselves as dashed tags; press × on a tag to leave that place out.

  3. Press Find companies. Company names stay hidden until you reveal them, but you see how many match and what each one has.

  4. Narrow the list with the filters: All, Has email, WhatsApp, Buying signal and Not revealed.

  5. Press Save search to keep it. On paid plans the button says Save and check daily: we check again every day and flag new matches in your sidebar.

Good to know

  • Everyday short names work, such as KL, JB and PJ, and small spelling mistakes in place names are fixed for you.
  • Add your website once (Add your website) and AI works out your best buyer types. Results are then ranked towards them.

Reveal and credits

A reveal shows a company’s name, the buyer and their contact details. Each company uses one credit, only once.

Find companies to reveal
  1. Press Reveal on a company, or tick several and press Reveal in the bar at the bottom. You see the cost before you confirm.

  2. One company uses one credit. A company you revealed stays revealed while you are subscribed and never costs a second credit.

  3. The free account gives 10 reveals in total, with no card needed. Paid plans get a monthly allowance: Starter 300, Growth 800, Pro 2,000.

  4. There is also a daily limit (Starter 40, Growth 100, Pro 250 a day). It resets at midnight.

  5. Monthly reveals renew on your billing date. Up to one month of unused reveals carries over. Stay 3, 6 or 12 months and your monthly reveals grow by 10%, 20% or 30%.

  6. Contact details wrong? Open the company and press Report wrong contact. Choose what was wrong: Email bounced, Wrong person, Company closed, Wrong phone number or something else.

Good to know

  • If an email you send to a revealed company bounces, the credit comes back by itself. You do not need to report it.
  • Most reports get the credit back at once. If you report many in one month, we check them within 2 working days.
  • Your credits are shown at the bottom of the sidebar, or at the top of the screen on a phone.

Pipeline

Every company you revealed, from first contact to order, with your notes.

Open Pipeline
  1. Every company you reveal appears in Pipeline.

  2. Use the tabs to see one stage at a time: New, Contacted, Replied, Meeting booked, Quoted, Won and Not a fit.

  3. Click a company to open it. Choose its stage and write notes, for example “Called, asked for catalogue, follow up Friday”. Notes save when you click outside the box.

  4. To change many at once, tick them and choose Move to stage in the bar at the bottom. The same bar has Email with AI, WhatsApp and Add to flow.

  5. Press Export new reveals to download a CSV file of companies you revealed since your last export. Each paid plan includes a number of export rows a month.

Good to know

  • When you label a reply Interested in your Inbox, the company moves to Replied by itself.
  • If your plan ends, companies you revealed on a paid plan are paused with their stages and notes. They come back when you reactivate.

Connect a mailbox

Flows send from your own email address, so replies come straight back to you.

Open Mailboxes
  1. Go to Mailboxes and press Add mailbox. Type the email address you send from and press Continue. We find the right settings for you.

  2. Gmail or Google Workspace: press Open 2-Step Verification and turn it on, then press Open App passwords and create one called “BossLead”. Paste the 16 letters and press Test and connect. Your normal Google password will not work here.

  3. Microsoft 365 or Outlook: press Sign in with Microsoft and approve on Microsoft’s own page. We never see your password. If your IT team blocks this, choose Use a password instead.

  4. Zoho and other providers: type the mailbox password (or an app password if you sign in with a code on your phone) and press Test and connect. If the test fails, Advanced settings lets you type the server details yourself.

  5. Adding lots of mailboxes? Press Add many and upload or paste a list: email, password, then optionally sender name and daily limit. Download template gives you an example file.

  6. Next comes the Domain check for SPF, DKIM and DMARC. Copy each missing record with Copy and add it where you manage your domain, usually where you bought it (such as GoDaddy, Exabytes or Cloudflare). Then press Check again.

Good to know

  • SPF is the list of services allowed to send email for your domain. DKIM is a signature that proves an email really came from you. DMARC tells inboxes what to do with fake emails that use your name. With all three set up (3/3), far fewer emails land in spam.
  • DNS changes can take up to an hour to show. Press Check again later if a record is still missing.
  • Keep each mailbox at 30 to 50 emails a day. Need more? Add another mailbox instead of raising the limit.
  • Send from a separate domain, such as yourcompany-mail.com, so your main domain stays safe if people mark emails as spam.

Watch out

  • New mailboxes warm up: they start at 10 emails a day and add 3 each day until the daily limit (40 unless you change it). Let the warm-up run.
  • A mailbox stops after 3 failed sign-ins, and pauses if more than 5% of its emails bounce over 7 days. Press Test on its card to see why.

Email flows

A flow sends a first email, waits, follows up, and stops for anyone who replies.

Open Flows
  1. Go to Flows and press New flow. Choose Write it with AI or Start from scratch.

  2. With AI: say what you want from the emails (for example “Book a short call”), what you offer and who you are writing to. Pick the number of emails (2 to 5), the tone and the language, then press Write my flow. AI only uses what you tell it.

  3. On the Build tab, drag steps onto a + in the flow: Email, Wait, Condition (splits into Yes and No), Set stage and End. Click any step to edit it.

  4. In an email step, Write with AI can Write, Improve, make it Shorter or Make version B. Version B is an A/B test: half the companies get A, half get B, and you see which gets more replies.

  5. Check your email with Preview (using a real company) and Send a test to my email.

  6. On the Settings tab choose What starts this flow (Companies I add, Every company I reveal, or When a company moves to a stage), the sending days and hours, the mailboxes to send from and the most new companies to start each day.

  7. Add companies: tick them in Pipeline or in search results and choose Add to flow. Then press Turn on.

Good to know

  • Emails only go out in the sending window you choose. By default each company’s own local time is used, so 9am in Singapore and 9am in Dubai.
  • Leave Track opens off for first emails. It makes the spam folder more likely, and replies are a better measure anyway.
  • Press Show stats in a flow to see sent, replies and the A/B results for each email.

Watch out

  • Anyone who replies, bounces or unsubscribes leaves the flow by itself. Companies that replied to you in the last 90 days are not added again.
  • Flow emails count towards your plan’s monthly and daily email allowance.

Inbox

Replies from all your mailboxes in one place, ready to label and answer.

Open Inbox
  1. Open Inbox. New replies are collected about every 15 minutes. Refresh reloads the list.

  2. Use the views on the left: All, Unread, Interested, Not now, Not interested, Unsubscribed, Auto-replies, Bounces, Sent, no reply and Archived. Search, or pick one mailbox, at the top.

  3. Open a conversation to read the whole thread.

  4. Label it Interested, Not now or Not interested. Interested also moves the company to Replied in your pipeline.

  5. Type your answer and press Send reply (or Ctrl+Enter). It goes from the same mailbox, in the same email thread.

  6. Open company shows the company with its stage and notes. The archive button tidies your list.

Good to know

  • Out-of-office replies are sorted into Auto-replies and do not stop the flow. Bounces go to Bounces and the company leaves the flow.
  • Replies such as “unsubscribe”, “remove me”, “berhenti” or “退订” are opted out automatically.
  • Only replies to your BossLead emails are brought in. Your other email stays private.

Campaigns

One-off email sequences and WhatsApp messages to companies you pick.

Open Campaigns
  1. Tick revealed companies in Pipeline or in your search results.

  2. Choose Email with AI or WhatsApp in the bar at the bottom.

  3. Email with AI writes a first message and up to three follow-ups, with a personal opening line for each company. Read them and change anything before you launch.

  4. WhatsApp works in two ways: From my phone (we write each message, you open each chat and press send yourself) or WhatsApp Business API (sent for you with a Meta-approved template).

  5. Follow progress on the Campaigns page: reached, replies and opt-outs.

Good to know

  • For steady outreach from your own mailboxes, flows are the newer and easier choice.

WhatsApp

BossLead uses the official WhatsApp Business Platform only.

Open Account
  1. Open Account and find WhatsApp connection. Press Connect WhatsApp with Facebook and follow Meta’s steps to choose your business and WhatsApp number.

  2. Under Message templates, press New template. Describe your offer and press Write it for me (or I will write my own), check the preview, then press Submit for approval.

  3. Meta reviews each template, most within minutes and some within a day. We email you when it is approved or rejected. Only approved templates can start a chat.

  4. Collect opt-ins: people must agree to hear from you. By default, API campaigns only go to people who messaged you first or scanned your click-to-chat QR code.

  5. Under Click-to-chat QR code, enter your number and the message people send you, then press Download SVG or Download PNG. Put it on flyers, name cards, your website or ads.

  6. Start a WhatsApp campaign from your pipeline and choose WhatsApp Business API.

Good to know

  • Messages are spread through the day and stay within your number’s Meta limit. If Meta rates your quality Medium, sending slows to half pace; at Low, campaigns pause until it recovers.
  • Meta charges you directly for WhatsApp business conversations.

Watch out

  • Sending automatically from a personal WhatsApp number (by scanning a WhatsApp Web QR code) is not supported. It breaks WhatsApp’s terms and gets numbers banned. If you prefer your own phone, use From my phone and press send yourself.

Results and weekly report

See what your prospecting brought in, and share a picture of it.

Open Results
  1. Open Results in the menu (or press See results on the This week card on your Overview).

  2. Choose This week, This month or Last 30 days. You see emails sent, replies, interested, meetings, deals won and reply rate, compared with the period before.

  3. Highlights show your best flow, the subject line with the most replies and one tip from your own numbers.

  4. Under Share your results, press Share on WhatsApp, Download picture, or copy text for LinkedIn or Facebook. Customer names are never shown, and your invite link is added.

  5. Every Monday morning you get a weekly report by email. Switch it off, or also get it on WhatsApp, in the Weekly report card on the Account page.

Invite and earn

Share your link. When a friend starts a paid plan, you both get one month free.

Open Invite & earn
  1. Open Invite & earn. Press Copy link, or share straight to WhatsApp, Facebook, LinkedIn or email.

  2. Your friend signs up with your link within 60 days.

  3. When they pay their first invoice, you both get one month free.

  4. Follow who signed up and who earned a reward under Your invites.

Good to know

  • There is no limit on how many friends you invite. Rewards are given once per friend, up to 12 a year.
  • If you are not on an active paid plan when the reward comes, you get bonus reveals instead.

Watch out

  • Inviting yourself does not count, for example a second account with the same company email domain or from the same network.

Billing and plans

Upgrade, downgrade or cancel whenever you like.

See plans
  1. Open Plans and pricing and choose a plan: Starter USD99, Growth USD199 or Pro USD299 a month. If you see Yearly, it gives 2 months free.

  2. Upgrades start straight away. You only pay the difference for the rest of the billing month.

  3. To downgrade, cancel, change your card or download invoices, press Billing on the Account page. It opens the secure Stripe billing page.

  4. Downgrades and cancellations take effect at the end of your billing period.

  5. After you cancel, paid reveals, flows and campaigns pause and the loyalty bonus resets. Your pipeline, notes and saved searches are kept for when you come back.

Questions people ask

Quick answers to the questions we hear most.

Why do my emails go to spam?

Usually one of these: the domain check is not 3/3 (SPF, DKIM, DMARC), the mailbox is new and sends too much too soon, the email has many links or images, or open tracking is on. Fix the domain records, keep to 30–50 emails a day per mailbox, let the warm-up run and keep first emails short and plain.

How many emails can I send a day?

Per mailbox, 30 to 50 a day is safest; new mailboxes start at 10 and go up by 3 a day. Your plan also has a daily message limit for email and WhatsApp together (Starter 100, Growth 300, Pro 800) and a monthly email allowance (Starter 500, Growth 2,000, Pro 6,000). For more, add more mailboxes.

What happens when my reveals run out?

You cannot reveal new companies until your monthly reveals renew on your billing date (or tomorrow, if you hit the daily limit). Companies you already revealed stay in your pipeline, and flows keep emailing them. You can upgrade for a bigger allowance.

Do I get my credit back for a wrong contact?

Yes. Bounced emails are credited by themselves. For anything else, press Report wrong contact on the company. Most reports are credited at once; some are checked within 2 working days.

Is it allowed to email businesses I have not met?

In Malaysia the Personal Data Protection Act 2010 (PDPA) covers personal data such as a named person’s email or phone number. Good practice: contact businesses about things that relate to their work, say clearly who you are, make it easy to opt out and stop at once when asked. Every flow email has an opt-out line, and anyone who opts out is never emailed by your flows again. This is general information, not legal advice.

How does unsubscribing work?

Each flow email ends with a one-click opt-out link, and replies like “unsubscribe” or “berhenti” count too. That address is then blocked for all your flows. On WhatsApp, replying STOP or BERHENTI opts the person out.

Why did a company leave my flow?

It replied, its email bounced, it unsubscribed, or it reached an End step. Open the flow and look at the Companies tab to see the reason for each one.

Why is my mailbox paused?

Either the sign-in stopped working (for example after a password change), or too many emails bounced. Press Test on the mailbox card, or Sign in again for Microsoft mailboxes, then press Resume.

Will BossLead read my other emails?

No. Only replies to emails sent by BossLead are brought into your Inbox. Other mail in your mailbox is never imported.

Can I send WhatsApp messages automatically from my own phone number?

No. Automatic sending is only possible through the official WhatsApp Business Platform with approved templates. Tools that log in to WhatsApp Web with a QR code break WhatsApp’s terms and often get numbers banned.

Which languages can the AI write in?

English, Bahasa Malaysia and Chinese (中文). Choose the language when you write a flow or an email, and you can edit every word afterwards.

Can I change or cancel my plan?

Yes, at any time. Upgrades start straight away; downgrades and cancellations take effect at the end of the billing period. Use Billing on the Account page.

Words we use

Short explanations of the terms you see in the app.

Reveal
Showing a company’s name, buyer and contact details. Uses one credit per company, once.
Credit
One reveal. Your plan gives you a number of credits each month.
Pipeline
Your list of revealed companies, sorted by stage from New to Won.
Flow
An automatic series of emails with waits in between. It stops for anyone who replies.
Sending window
The days and hours when a flow is allowed to send.
A/B test
Sending two versions of an email to see which one gets more replies.
Warm-up
Starting a new mailbox with a few emails a day and adding more slowly, so email providers learn to trust it.
Bounce
An email that could not be delivered, for example because the address does not exist.
SPF
A record on your domain that lists which services may send email for it.
DKIM
A signature added to each email that proves it really came from your domain.
DMARC
A record that tells inboxes what to do with fake emails that use your domain.
Template
A WhatsApp message approved by Meta. Businesses need one to start a WhatsApp chat.
Opt-in
A person agreeing to get messages from you, for example by messaging you first or scanning your QR code.
